
Zoho Books is worth shortlisting if your UK service business wants invoicing, expenses, project billing and VAT records in one place, particularly if sales already run in Zoho CRM. The strongest case is a clear quote-to-cash process: an agreed sale becomes an accurate invoice, the payment is reconciled, and managers can see what remains outstanding. The weaker case is buying a plan on a feature list without checking bank connectivity, transaction limits or who will maintain the data.

Where Zoho Books looks strong
A substantial starting point for a small operation
Zoho's UK Free plan includes quotes, invoices, expenses, recurring invoices, reminders, a customer portal and MTD VAT filing. It permits one user and one accountant, up to 1,000 invoices and 1,000 expenses a year, and 50 receipt autoscans per month. That gives a solo consultancy a way to evaluate its everyday workflow.
The detailed plan comparison lists one bank or credit-card account on Free and shows third-party bank feeds as available. This is easy to miss when comparing plan headlines. If you need several connected accounts or team access, Standard includes three users and allows multiple bank accounts. Check both the account limit and the particular bank before making the decision.
A connected route from sales to finance
Zoho's UK CRM integration help describes syncing customers, vendors and items between Books and CRM, and creating quotes or invoices related to sales records. This can reduce rekeying, but the benefit depends on field mapping, record ownership and how duplicates are handled. A connection alone does not make the numbers right.
For example, an accepted proposal might become an invoice using the correct legal entity, billing contact, tax treatment and payment terms. Agree those fields before automation. Zoho's integration documentation offers one-way or two-way customer sync and duplicate-handling choices. Several Books organisations connected to one CRM organisation use one-way sync from CRM into Books.
UK tax and operational features in the same product
Zoho lists VAT tracking and MTD VAT filing in its UK plan descriptions. HMRC says VAT-registered businesses generally need digital records and software-based filing under MTD, subject to its exemption rules. HMRC's VAT Notice 700/22 explains the requirement. A software feature helps with submission; your organisation still needs correct records, VAT settings and review before filing.
Zoho also lists project tracking, timesheets, mileage, online payments and reminders in the Free plan. A firm billing retained work or project hours should test one typical engagement and one awkward case, such as a part-paid invoice.
Where to look carefully
Bank feeds are not universal
Zoho's UK banking help says it connects through third-party providers and allows manual statement imports. It also states:
“Sometimes, the bank or credit card you are searching for might not be available.”
Test your exact institution and account type, reconciliation and manual fallback. Zoho's help describes up to 90 days of transaction history when connecting a supported account.
The plan limits matter as work grows
Zoho's UK pricing FAQ gives annual invoice caps of 1,000 on Free, 5,000 on Standard, 10,000 on Professional, 25,000 on Premium, and 100,000 on Elite or Ultimate. The same page gives corresponding bill or expense limits. Included users rise from one plus an accountant on Free to three on Standard, five on Professional, ten on Premium or Elite and fifteen on Ultimate, according to the plan comparison.
You should also count documents that require automatic scanning. Zoho includes 50 scans a month on Free, 200 on Standard and Professional, and 1,000 on Premium and above; additional scan packs are paid add-ons on eligible plans. This may matter more to a high-volume expenses team than a small difference in subscription price.
Some useful capabilities require a higher tier
Professional adds vendor bills and payments, multi-currency transactions, purchase orders, inventory and workflows. Premium adds budgeting, cashflow forecasting and fixed assets. Elite and Ultimate shift towards advanced inventory and analytics. Those are meaningful distinctions if a company sells in several currencies or needs tighter purchasing controls. An online payment link also has a cost beyond Books: Zoho's UK Stripe help says Zoho does not charge an additional fee for that integration, while Stripe's own transaction charges apply. Do not compare subscription costs without including expected payment and implementation costs.
A practical decision test
Use Zoho's published 14-day full-featured trial to check what would happen in your business, rather than trying every feature at once.
- Select one service journey. Start with a real type of client engagement: proposal, approval, invoice, payment and month-end review.
- Define the records. Note which system owns the customer name, billing contact, item or service description, VAT treatment and payment terms.
- Try the happy path. Create a quote, issue an invoice, accept or record payment and reconcile the bank line.
- Try two exceptions. Change a billing address after approval, then test a credit note, partial payment or delayed bank feed. Record who fixes each issue.
- Check the outputs. Ask the person responsible for finance whether the VAT, receivables and project reports answer the questions they need answered.
- Estimate ongoing effort. Count who will maintain templates, resolve sync errors, review bank matches and keep the process documented.
If one requirement fails, check the process or integration design before assuming an upgrade will fix it.
